Documentation: Voice to Text

During your therapy, your therapist may use a Voice to Text tool. This is a support tool that helps with creating session notes. This means that (parts of) the conversation are automatically converted into text. This supports the preparation of documentation. As a result, your therapist can focus more on you and the conversation, and less on writing.

The Voice to Text tool is fully integrated into our Electronic Patient Record system, HCI. HCI is certified in accordance with ISO 27001:2022 and NEN 7510-1:2017.

How does it work?

The Voice to Text tool creates a first draft of the report based on the conversation.

Your practitioner always carefully reviews this text, adjusts it where necessary, and only then saves the report in your record.

Your practitioner remains fully responsible for the content of the report at all times.

Is the conversation recorded?

No.

• The conversation is not stored as an audio recording.
• Audio is only used briefly to convert speech into text.
• After transcription, the audio is automatically deleted.
• No audio file is stored in your record.

What happens to the text?

The text generated from the conversation (the transcription) is temporarily stored to create the final report.

After two weeks, the transcription is automatically deleted.

Are my data used to train the tool?

No.

Your data is not used to train or improve the system. They are also not shared with third parties for their own purposes.

Who has access to my data?

Only:

• your practitioner;
• staff directly involved in your treatment.

The Voice to Text tool processes data on behalf of Psychiatrie Noord and in accordance with applicable privacy and security regulations.

Why do we use this tool?

Because it helps to:

• give more attention to the conversation;
• spend less time on administration;
• document reports more quickly and carefully.

If you have any questions or concerns, you can always discuss them with your practitioner during your treatment.
